This cancellation policy is designed to be flexible, transparent, and built to give travelers total peace of mind.
Below you’ll find the full breakdown of how deposits, payments, and cancellations work across all Travel With Wes tours!
Deposits & Booking Window
Risk-Free Deposit (Refundable for 30 Days)
Your initial deposit reserves your spot on the tour and is fully refundable for 30 days after payment, as long as the trip is still more than 90 days away.
After the 30-day window closes, or once the departure date is within 90 days, deposits become non-refundable.
Booking Cutoff
We typically accept new reservations up to 60 days before the tour start date, unless otherwise noted.
Payment & Refund Schedule
After your deposit is submitted, the remaining balance is due in the following installments:
- 25% of remaining balance – due 120 days before departure
Fully refundable until 90 days before departure. - 50% of remaining balance – due 90 days before departure
(This payment marks the end of the deposit refund period.) - 75% of remaining balance – due 60 days before departure
- 100% of remaining balance – due 30 days before departure
You’re welcome to pay your balance sooner. Any amounts paid in excess of the payment schedule are refundable until they become due. For example, 25% of your remaining balance would remain refundable until 31 days before departure.
This payment schedule is necessary because many of the underlying activities and vendors require payment well in advance to secure group travel reservations.
Failure to Meet Payment Deadlines
If a scheduled payment is not made on time:
- We will attempt multiple reminders.
- If payment is not received within a reasonable grace period, your reservation may be released and all payments forfeited per the refund timeline above.
Travel Insurance Recommendation
Because unexpected events can happen like illness, injury, weather, travel delays, and more I strongly encourage travelers to purchase comprehensive travel insurance that includes trip interruption and cancellation coverage.
